ERA New Zealand is the New Zealand programme of the Electronic Recycling Association, an international not-for-profit technology reuse organisation. The Electronic Recycling Association (“ERA”, “we”, “us”) is the holder of personal information collected through this website and the services described here.
This policy explains what information we collect when you use this website or our services, why we collect it, who may receive it, where it is stored and the choices you have under the Privacy Act 2020.
Information we collect
- Information you provide: when you request a pickup, mail-back shipping label or donation, contact us, or apply to a programme, we collect details such as your name, email, phone, organisation, location or shipping address, a description of the equipment involved, and any photo of the equipment you choose to share.
- Equipment & service data: for data-destruction and IT asset disposition services, we record asset details (such as device types and serial numbers) needed to provide certificates and reporting.
- Automatically collected data: our website and hosting providers record basic technical information such as IP address, browser type, request time and pages requested in security and access logs. The public site does not use advertising cookies or third-party behavioural analytics.
How we use your information
- To respond to your requests and provide pickups, donations and data-destruction services.
- To produce service documentation (e.g. certificates of destruction, inventory and impact reports).
- To communicate with you about your request and, where you have opted in, about ERA news and impact.
- To operate, secure and improve our website and services.
How we protect your data
Protecting data is core to our mission. Equipment we receive for reuse or recycling is securely wiped or physically destroyed before any device is refurbished or passed on. We apply reasonable administrative, technical and physical safeguards to the personal information you share with us.
Sharing your information
We do not sell your personal information. We share it only as needed to deliver our services, for example with NZ Post, collection providers, vetted logistics or downstream recycling partners, our technology providers, professional advisers, or a regulator or law-enforcement agency where required by law. We do not use information submitted for one service request for unrelated marketing unless you have opted in.
Storage outside New Zealand
Website requests and any equipment photo submitted with them are stored using Amazon Web Services in Sydney, Australia. Email and service providers may also process information outside New Zealand. We require providers to protect the information and use it only for the services they supply to us.
Retention
We keep personal information only for as long as it is reasonably needed to complete a request, provide and document a service, meet legal or accounting requirements, resolve a dispute, or protect ERA and its users. The retention period therefore depends on the request and any resulting service. Information that is no longer required is deleted or de-identified.
Your choices
You may request access to or correction of personal information we hold about you. You may also ask us to delete information that is no longer required, and you may unsubscribe from non-essential communications at any time. We may need to verify your identity before responding.
New Zealand privacy
We handle personal information in line with the information privacy principles of the Privacy Act 2020. Providing information is voluntary, but we may be unable to arrange a collection, issue a shipping label, assess an application or provide another requested service without the details identified as required. If you have a privacy concern we cannot resolve, you can contact the Office of the Privacy Commissioner at privacy.org.nz.
